Zapier Consultant for Marketing Agencies

I work as a Zapier consultant for marketing agencies that already run on Zapier. I build and fix the Zaps, audit the account, and tell you plainly when a workflow belongs in Make or n8n instead. I build primarily in n8n; I work in Zapier when that is what your team already runs on. Process first, then automation, because automating a broken process just makes the mess faster.

01 · The symptoms

The work a Zapier consultant takes off your team

  • It is Thursday and someone is assembling a client report by pulling numbers from one tool, pasting them into a spreadsheet, then reformatting them into a deck.
  • A new client starts and the onboarding sequence is a chain of emails someone copy-pastes from the last one, adjusting names and dates by hand.
  • A deliverable moves from strategy to design and the handoff lives in a Slack message that will be buried by Friday.
  • Every Monday, someone creates the same recurring tasks they created last Monday.

None of this requires judgement. It requires time, and it takes that time from work that does require judgement.

A good Zapier expert turns that list into Zaps that run without anyone watching: a trigger, one or more actions, filters and paths where the work branches, and error handling for the day something fails.

02 · The services

What a Zapier expert does for a marketing agency

Four jobs, depending on where your account is today.

  • Build new Zaps

Multi-step Zaps that connect your forms, CRM, project management tool, Slack and reporting sources. Triggers and actions are chosen so the Zap fires once, on the right event, and writes to the right place.

  • Audit an existing Zapier account

Task usage, broken or duplicate Zaps, missing error handling, and who actually owns each Zap. You get a written list of what to keep, fix, merge or switch off.

  • Fix what is broken

Zaps that stop when a field changes, fire twice, or fail silently. I find the cause, fix it, and add the error handling that was missing.

  • Say when it belongs elsewhere

Some workflows are better in Make or n8n. If yours is one of them, I will say so and explain what moving it would cost and gain.

03 · The audit

How I audit a Zapier account

Task usage

Zapier counts usage in tasks, so a busy or looping Zap can burn far more tasks than the work justifies. I check the heaviest Zaps and ask whether each earns its place.

Broken and duplicate Zaps

Zaps that errored last month and nobody noticed. Two Zaps doing the same job, built by different people. Both are cheap to fix once they are visible.

Missing error handling

What happens when a trigger sends bad data, a connected app is down, or a field is empty? Without filters and alerts, the usual answer is nothing, silently.

Ownership

A Zap built by a former employee or tied to a personal login is a risk. Every Zap should sit in an account you control, with a named owner and a note on what it does.

04 · What gets automated

What I build in Zapier for agencies

Most of these are multi-step Zaps: a trigger, a few actions, filters so the Zap only runs when it should, and paths where the work branches. Where a tool has no native connection, a webhook usually fills the gap.

  • Client reporting assembly
  • Onboarding sequences and asset collection
  • Status roll-ups from your project management tool
  • Task creation from intake forms
  • Handoff notifications between roles
  • Invoice and scope reminders

What stays manual

Judgement calls about priority. Client communication that requires reading the room. Anything that changes shape every week. A step that needs a decision is a candidate for a clearer decision framework, not for automation.

05 · The sequence

Process first, then Zaps

Most automation consultants start with the tool. I start with the week.

I map how your delivery actually runs, day by day, and find the steps that repeat in the same order, by the same person, with the same inputs. Half the time the repetition exists because the process was never designed. It just accumulated. I fix the process. Then I automate what survives.

Maintenance is part of the job

Automations break. APIs change and tools push updates. I build with documentation and handoff in mind, but if nobody on your team can maintain what I build, it will rot within months. If you need ongoing support, that is what the fractional operations retainer covers.

If your processes are still undefined and shifting week to week, that is closer to business process improvement consulting, and I would rather point you there than start an automation project that is not ready.

Classic automation or AI automation?

Rule-based automation is for steps that never change shape: same trigger, same fields, same output, every time. AI earns a place when a step involves language, and it always sits behind a human checkpoint. An AI automation services engagement covers where AI beats a rule. If you are weighing a firm against a person for that work, start with AI automation agency vs AI consultant.

06 · Credentials

Do you need a Certified Zapier Expert?

I am not a Certified Zapier Expert and I am not a Zapier Solution Partner. I build primarily in n8n and work in Zapier and Make depending on what your team uses. What I bring is twelve years of agency delivery, not a badge.

What to check instead of a badge

Ask any Zapier consultant to show you a Zap they built for an agency like yours. Ask how they handle errors and replays. Ask who owns the account when the work is done. Ask what they document. And ask for a fixed quote per workflow, so the price does not drift with the hours.

07 · The move

When should you move from Zapier to Make or n8n?

Sometimes the right answer is to stay. If a Zap is simple, stable and cheap to run, leave it alone. Consider moving a workflow when one Zap fans out across many branches, when it burns a lot of tasks on high-volume work, or when you need more control over data and error handling. Make and n8n handle that more directly.

I choose the platform based on what your team can maintain after I am gone. The comparison is in Zapier vs Make vs n8n for agencies, and if n8n is already the decision, the n8n consultant page covers that engagement.

08 · Pricing

How much does a Zapier consultant cost?

Automation work is quoted per workflow, not per hour. The fixed quote covers building the workflow in your own account, so you own it from day one.

  • Agency Ops Audit

Two weeks. A written 90-day operations roadmap identifying what to automate, in what order, and what to leave alone. Includes one 60-minute readout call. This is the entry point. A $500 non-refundable signing amount is credited against the $1,500, and the $1,000 balance is only due if the readout gives you a clear, prioritised fix list.

    $1,500 fixed

    Start with the audit

  • Fractional operations retainer

10 to 15 hours per week, 60-day minimum, then monthly with 30 days’ notice. I run the automations, maintain what is live, and build the next layer as your delivery evolves.

    From $3,000/month

  • Automations

One repetitive workflow at a time, built in the tools you already use, with a named person checking the output. A workflow that does not work as built is fixed free within 30 days of handover. If you start the retainer on the 90-day start, the audit is included and one automation is built free.

    Fixed quote per workflow

I cannot recommend him highly enough.”

“Reliable project managers are easy to find. Project managers who improve operational efficiency, strengthen client relationships, and become a genuine extension of your leadership team are much rarer. Monis is one of those people.”

10 · Fit

When a Zapier consultant is the wrong hire

Not a fit

  • This is not for you if you want someone to install a tool and disappear.
  • It is not for you if your delivery process is still undefined and changing week to week. I can help define it, but that is systems work, not automation work, and I would rather tell you that now than start a project on the wrong footing.
  • It is not for you if you need a Zapier-certified or Solution Partner badge for procurement reasons. I hold neither.

11 · Questions

Questions agencies ask about Zapier work

  • What does a Zapier expert do for a marketing agency?

I map how your delivery week actually runs, find the steps that repeat by hand, fix the underlying process, and then build the Zaps for what remains. For an existing account, I audit task usage, broken or duplicate Zaps, missing error handling and ownership.

  • How much does a Zapier consultant cost?

Automations are quoted at a fixed price per workflow, built in your own account. The Agency Ops Audit is $1,500 fixed and gives you a written 90-day roadmap identifying what to automate and in what order. Ongoing fractional support starts at $3,000 per month.

  • Do you need a Certified Zapier Expert?

Not necessarily, and I am not one. I hold no Zapier certification and I am not a Solution Partner. Check instead whether they can show Zaps built for an agency like yours, how they handle errors, who owns the account afterwards, and whether they quote a fixed price per workflow.

  • When should we move from Zapier to Make or n8n?

When one Zap has grown into many branches, when a high-volume workflow burns a lot of tasks, or when you need more control over data and error handling. If a Zap is simple and stable, leave it where it is. I build primarily with n8n and work in Zapier and Make, and I choose based on what your team can maintain after I am gone.

  • What happens when a Zap breaks?

Zaps do break. APIs change and tools push updates. A workflow that does not work as built is fixed free within 30 days of handover. Changes after handover, such as new requests or tool updates, are quoted separately. I document everything so someone on your team can own it.

If the readout does not give you a clear, prioritised fix list, you do not pay the $1,000 balance. If it does, you have a delivery operation that runs without you in the room.
