Where Notion fits an agency
I have spent twelve years running delivery operations for digital marketing agencies. I work inside ClickUp, Asana, Monday.com, Airtable and Notion daily, and I connect them with n8n. That range matters, because the honest answer to “should we run on Notion” is not always yes.
Notion earns its place when the work is documentation-heavy and the databases need to bend to your process rather than the reverse. Specifically:

Strategy documents, audits, briefs and reports that clients read. Notion holds long-form work natively instead of treating it as an attachment bolted onto a task.

02 · The limits
Where Notion is the wrong tool
I would rather lose the project than build you a workspace that fights your delivery model. Notion is a poor fit in three situations.
A poor fit
- Heavy dependency scheduling. If your projects live or die on critical paths and cascading date shifts, use a tool built for that. Notion can display dependencies. It does not manage them the way a scheduling-first tool does.
- Big-team workload views. Once you are staffing twenty-plus people across concurrent retainers, you need capacity reporting that answers “who is over-committed next week” in one screen. Notion needs a lot of construction to approximate that, and it stays an approximation.
- No appetite for structure. This is the one that sinks most agency workspaces, and it is the next section.
03 · The principle
Notion rewards structure and punishes improvisation
At two people, a loose Notion workspace is fine. At fifteen it is a liability. Pages get duplicated, three databases track the same client, and the SOP everyone references is a stale copy of the real one. Nobody decided that. It happened because the workspace had no architecture and every person filled the gap their own way.
The structure is the job. What I build is a decision about where each kind of work lives, who owns it, and what has to be true before it moves to the next stage. Who this is not for
Not a fit
- This is not for you if you want a prettier workspace and nothing else. The visual tidy-up is the last ten percent, and on its own it changes nothing about how work moves.
- It is not for you if your team wants total freedom to organise work their own way. Notion grants that wish and the workspace is unusable within two quarters.
- And if Notion is already the decided answer before anyone has looked at your delivery process, I will probably tell you something you did not hire me to hear.

Is Notion a good project management tool for an agency?
For docs-heavy agency work, yes. Strategy, audits, briefs, client wikis and content pipelines sit naturally in Notion, and flexible databases let one source feed several views. For heavy dependency scheduling or workload capacity across a large team, no. Those needs are better served by a tool built for them, and I will say so rather than build an approximation.

Can Notion replace ClickUp, Asana or Monday.com for us?
Sometimes, and sometimes the right answer is to keep both. I work inside ClickUp, Asana, Monday.com, Airtable and Notion daily, so the recommendation is not brand loyalty. If your scheduling and capacity needs are light, one workspace is simpler and cheaper. If they are not, Notion becomes the documentation and knowledge layer while the scheduling tool keeps the dates.

Can Notion connect to the rest of our stack?
Yes. I build those connections with n8n, so records get created from intake forms, data arrives from your reporting tools, and updates flow between Notion and whatever else you are running. The point is to remove copy-paste steps between systems, not to force everything into one place.

How do you stop the workspace from becoming a mess again?
Three things. Templates, so the correct structure is the path of least resistance. A named owner for each database. And training at handover, because the workspaces that decay are the ones where two people understood the design and everyone else guessed.
